Predictive dialing

Predictive dialer software, explained properly

A predictive dialer is not just an auto dialer with a better name. It continuously models answer rates and agent availability to decide how many lines to launch, so agents talk instead of listening to ringing. Tuned well it transforms utilization; tuned badly it abandons calls and burns your caller ID.

How prediction actually works

The dialer tracks how many of your calls get answered by a human, how long the average conversation lasts, how long wrap-up takes and how many agents are free right now. From those it estimates how many calls to launch so that an agent frees up just as a human picks up.

Every input in that model moves during the day. Answer rates differ by hour, by area code and by list age. That is why predictive settings are not something you configure once — they are something you watch.

Predictive vs power vs preview vs manual

  • Manual — the agent chooses each number and clicks dial. Slowest, highest control, required for some campaign types.
  • Preview — the dialer shows the record first and the agent decides whether to place the call. Good for complex or high-value lists.
  • Power / ratio — a fixed number of lines per available agent. Predictable and easy to reason about.
  • Predictive — a variable number of lines driven by live statistics. Highest utilization, needs volume and needs tuning.

In VICIdial terms those map to MANUAL, RATIO and the ADAPT_* family. Each mode, and when to reach for it, is documented in dial methods.

Drop rate is the number that matters

It is tempting to tune for connect rate, because connect rate is the number that looks like productivity. Drop rate is the number that determines whether you still have a business next quarter.

Every abandoned call is a person who answered their phone to silence. At scale that produces complaints, carrier-level flagging of your numbers, and in many jurisdictions direct regulatory exposure. The practical discipline is simple: start conservative, increase pacing in small steps, and back off the moment drop rate rises — not after you have run a full day at the higher setting.

Caller ID decay, and how to slow it

The most common “the dialer stopped working” complaint is not a dialer fault at all. Connect rates fall because the numbers you dial from have been labeled as spam by carriers and screening apps, so the handset silences them before they ring.

  • Dial from a pool of numbers, not one, and rotate automatically
  • Match the caller-ID area code to the region you are calling where you can
  • Keep drop rate low — abandoned calls are a strong flagging signal
  • Route your DIDs inbound so callbacks reach an agent instead of dead air
  • Retire numbers that have decayed rather than dialing them harder

CreatixReach packages include 20 US DIDs per agent seat with automatic rotation configured, precisely because this is the failure mode that quietly kills campaigns. Details in phone numbers.

Running a predictive dialer without operating one

CreatixReach provides the predictive dialer as a managed platform: a dedicated VICIdial server per customer, carrier SIP trunking, rotating DIDs and a dial plan that ships already tuned, so the pacing decisions above start from a sane baseline rather than from installer defaults.

Packages run from $149.99/mo for 3 agents up to $1,999.99/mo at 60 agents — see the calculator.

Frequently asked questions

What is a predictive dialer?
A predictive dialer places multiple outbound calls per available agent and uses live statistics — answer rate, average call length, agent availability — to predict how many calls to launch so that an agent becomes free at roughly the moment a human answers. The goal is to remove the dead time agents spend listening to ringing, busy signals and voicemail.
What is the difference between a predictive dialer and a power dialer?
A power dialer places a fixed number of calls per agent — for example three lines per available agent — regardless of conditions. A predictive dialer varies that number continuously based on measured answer rates. Power dialing is simpler and safer at low volume; predictive dialing produces higher agent utilization on large lists, at the cost of needing careful tuning to avoid abandoned calls.
What is a dropped or abandoned call?
It is a call the dialer launched, a human answered, and no agent was free to take it. The person hears silence or a hang-up. Drop rate is the percentage of answered calls that end this way, and it is the number regulators, carriers and call-analytics providers pay attention to. Aggressive predictive settings raise agent utilization and raise drop rate at the same time.
What drop rate should I aim for?
Lower than whatever your jurisdiction and campaign type require, with headroom. Rather than dialing to the legal ceiling, most well-run campaigns pick a conservative internal target and tune toward it while watching the trend, because drop rate moves with list quality and time of day. Your own compliance obligations depend on where you call and what you are calling about — that determination is yours to make, and worth confirming with counsel.
Why does my connect rate keep falling on the same list?
Usually caller-ID reputation rather than the dialer. Calling a large list from one or two numbers gets those numbers labeled by carriers and call-screening apps, after which they are silenced or flagged on the handset before they ever ring. Rotating across a pool of DIDs, matching the area code to the region you call, and keeping drop rate low all slow that decay.
Does a predictive dialer work for small teams?
Prediction needs volume to be statistically useful. Below roughly five simultaneously available agents, the model has too little signal and a fixed-ratio or manual method is usually both safer and no less productive. Predictive dialing pays off as the agent pool grows.
